Jobber is the best starting point for most small trade businesses.
It covers quote to paid invoice, publishes its prices and lets a 5-person crew run on $149 to $229 a month billed annually. Pick Housecall Pro instead if you sell residential HVAC or plumbing service plans, and look at ServiceTitan only when you have ten-plus techs and a dispatcher.

How to choose software for a trade business
Choose by how many people work in the field, then by trade, then by price. Most owners do it in reverse. They start with the cheapest plan, find out in month three that it can't do what the business needs, and pay for a second migration.
Start with the size of your shop
Just you, maybe a helper. You need quotes, a calendar, invoices and card payments on your phone. Jobber Core at $29/mo billed annually or Housecall Pro Basic at $59/mo covers that. Skip dispatch boards and GPS tracking. You know where your one truck is.
Two to five techs. Now the problem moves into the office. Who's going where, did the tech finish, did the invoice go out, why is the Hendricks job still open? This is where Jobber Connect or Grow and Housecall Pro Essentials earn their money. Both price five users into a tier ($149 to $229/mo on Jobber, $149/mo on Housecall Pro Essentials, billed annually), and both sync with QuickBooks Online at that level.
Six to fifteen techs. You'll want a dispatcher's view of the day, job costing to see which jobs make money, service agreements that renew without anyone remembering, and reports that answer questions. Housecall Pro MAX, Jobber Grow or Plus, FieldPulse and Service Fusion belong on the list. Service Fusion charges a flat price for unlimited users (from $208/mo billed annually), which gets more attractive with every tech you hire.
Fifteen to twenty-five techs, or a call center. This is where ServiceTitan starts to make sense, if your average ticket and membership base can carry the cost.
Then match it to your trade
- HVAC, plumbing and electrical: flat-rate pricebooks, maintenance agreements, equipment history by address, good-better-best options on replacement quotes. Housecall Pro, FieldPulse and ServiceTitan are built for this.
- Lawn care, pest control, pool and cleaning: recurring visits on fixed routes, skip notices, auto-billing on a schedule. Jobber handles this well, and route-priced tools like GorillaDesk ($49/mo per route, unlimited users) or Skimmer (priced per pool) can cost less than a general platform.
- Roofing, remodeling and general contracting: measurements, change orders, photos, multi-week jobs, progress payments. These buyers usually belong in JobNimbus, AccuLynx, Buildertrend or Contractor Foreman rather than a service-call tool. The trade hubs below cover each one.
Buy things in this order
- Job management first. It's the system of record for customers, jobs, quotes and invoices. Everything else feeds from it.
- Accounting second. QuickBooks Online is what most bookkeepers expect: Simple Start is $38/mo for one user and Plus is $140/mo for five users as of October 2026. Xero (from $27/mo, unlimited users) is fine if your bookkeeper already uses it. Connect the sync before you send a single invoice, so the two systems never disagree about who owes what.
- Payroll third, once you have W-2 employees. Gusto Simple is $49/mo plus $6 per person. If your field software tracks time, check that it can export hours to your payroll tool before you commit.
- Extras last. Photo documentation, call answering, review requests and marketing. CompanyCam is the first add-on we'd look at for any work where photos protect you later: roofing, remodeling, water damage, a water heater install an inspector might question. It starts at $63/mo billed annually for one user.
The order matters because the job system creates the invoices. If you set up accounting first, you'll build a customer list and item catalog in QuickBooks, then fight the sync to match a second list in the field app.
What small shops actually pay
Here's the subscription math for three common shop sizes as of October 2026, using annual billing and each vendor's published prices. ServiceTitan doesn't publish prices, so its column uses third-party estimates.
| Shop size | Jobber | Housecall Pro | Service Fusion | ServiceTitan (estimate) |
|---|---|---|---|---|
| Solo (1 user) | $29/mo (Core) | $59/mo (Basic) | $208/mo (Starter) | Not built for solo shops |
| 5 users | $149/mo (Connect) to $229/mo (Grow) | $149/mo (Essentials) | $208/mo (Starter) | About $1,225 to $2,500/mo |
| 15 users | $299/mo (Connect) to $399/mo (Grow) | $544/mo (MAX, 8 users + 7 at $35) | $208/mo (Starter) to $533/mo (Pro) | About $3,675 to $7,500/mo |
The software is rarely the biggest line. A five-tech shop on Jobber Grow ($229) with QuickBooks Online Plus ($140) and Gusto Simple for six people ($49 + $36) pays about $454 a month for the full stack. Card processing on that same shop can run several times that. At Jobber's 2.9% + 30¢, a shop taking $40,000 a month in card payments pays about $1,160 in percentage fees before the per-transaction charges. Both Jobber and Housecall Pro charge 1% for ACH bank payments, so moving commercial accounts and big replacement tickets to ACH saves real money every month.
Watch the add-ons too. Jobber's Marketing Suite is $99/mo and its AI Receptionist is $29/mo. Service Fusion charges $60/mo for job costing and $149/mo for service agreements on top of the plan. ServiceTitan's marketing, phones and Pricebook Pro are priced separately. Ask every vendor for the price of the plan you'd actually run in year two, not the plan on the banner.
Mistakes owners make when they switch
Switching in peak season. Moving systems in July is how an HVAC shop loses a week of callbacks. Plan the cutover for your slow stretch: spring or fall shoulder season for HVAC, winter for lawn and landscape, late fall for pest control. Give yourself four to six weeks before the phones get busy.
Importing a dirty customer list. Every duplicate, dead phone number and old address you import becomes a duplicate in the new system, then in QuickBooks. Spend a few evenings merging and deleting before you upload anything. It's the cheapest cleanup you'll ever do.
Paying for the top tier on day one. Sales reps sell the plan for the business you want to be in three years. Start on the tier that covers what you do today, and upgrade when a specific missing feature is costing you money.
Locking into annual billing before the techs have used it. The annual discount is real (Jobber Connect for five users is $149/mo annually versus $199/mo with no commitment), but $50 a month for two or three months of flexibility is cheap insurance. Go annual once the crew is actually using the app.
Letting two systems both own invoices. Pick one place where invoices are created, usually the field software, and let it push to QuickBooks. When the office edits invoices in both, the sync breaks and the books stop matching.
Rolling it out to the field last. If techs don't close jobs out on the app, nothing downstream works: no invoice, no job cost, no review request. Get the crew on the mobile app during the trial, not after you've paid.
Canceling the old system before you've exported everything. Pull customer lists, job history, open invoices and equipment records first. Some vendors make exports harder once the account is closed.
Questions owners ask
What is the best software for a small contractor business?
For most shops with 1 to 15 technicians, Jobber is the safest first pick: published prices, a 14-day trial, and plans from $29/mo billed annually as of October 2026. Residential HVAC and plumbing shops that sell maintenance agreements often do better on Housecall Pro. Roofers, remodelers and general contractors usually need project tools like JobNimbus, Buildertrend or Contractor Foreman instead of a service-call app.
How much does contractor software cost per month?
A solo owner can run on $29 to $59 a month (Jobber Core or Housecall Pro Basic, billed annually). A five-tech shop typically pays $149 to $229 a month for job management, plus about $140 for QuickBooks Online Plus and $85 for Gusto payroll. ServiceTitan is quote only; third-party estimates run $245 to $500 per technician per month. Card processing fees often cost more than all of it.
Do I need separate CRM, scheduling and invoicing software?
Usually not. Jobber, Housecall Pro, Workiz, FieldPulse and ServiceTitan all handle customer records, scheduling, quotes, invoices and payments in one system. Separate tools make sense in two cases: you need accounting and payroll (QuickBooks Online and Gusto are the common pair), or you run a sales-heavy operation like roofing where a dedicated pipeline CRM earns its keep.
Is QuickBooks enough to run a trade business?
QuickBooks handles your books, not your field work. It won't schedule a tech, send an on-my-way text, track which jobs are done but not invoiced, or let a customer approve a quote on their phone. Most shops pair a field service platform with QuickBooks Online, letting the field system create invoices and sync them over. Jobber syncs from Connect up; Housecall Pro from Essentials up.
Is ServiceTitan worth it for a small company?
Rarely below about ten technicians. ServiceTitan doesn't publish prices, and third-party estimates of $245 to $500 per tech per month plus implementation in the thousands mean a five-tech shop could spend $15,000 to $30,000 a year. That pays off when you run a call center, a big membership base and replacement sales. A smaller shop gets most of the daily value from Housecall Pro MAX at $299/mo for eight users.
Is there free software for contractors?
A few tools have real free plans as of October 2026. ServiceM8 is free for one user and 30 jobs a month. Roofr's Starter plan is free, with measurement reports at $19 each. STACK offers a free takeoff plan limited to one active project a month. HubSpot's CRM is free for up to two users. None of them replace a paid field service platform once you have a crew.
